Introducing the Project and Change Management Office
LAWRENCE — To help the university’s technology projects run smoothly and strategically align with institutional goals, the KU IT Project and Change Management Office provides essential oversight, coordination and expertise to units across the Lawrence and Edwards campuses.
Restored in 2023, the PCMO helps departments implement technology-driven projects across campus. Their work spans critical areas including academic systems for curriculum tracking, classroom technology modernization, cybersecurity protections such as multi-factor authentication, and digital infrastructure improvements that create efficiency and cost savings.
In 2025, the office expanded to include change management, addressing how people adapt to new technology and making sure all members of the KU community have the information and support they need to navigate change.
“The change management component focuses on the people side of change, considering awareness, desire for the change and the support needed to realize its full potential,” said Becca Grube, director of the IT Project and Change Management Office. Why work with the PCMO?
When managing an IT-related project, whether implementing a new technology service or integrating with KU’s existing systems, the PCMO offers structured project management, coordination with IT teams and a clear path to success. Their expertise provides support that helps projects stay on schedule, meet key objectives and align with university priorities.
Sean Barker, a Project Manager with the PCMO, played a crucial role in the Capitol Federal Hall classroom A/V upgrades project by providing important support in coordination, interpretation and continuity as the School of Business worked to modernize classroom technology while minimizing disruption.

How Project and Change Management supports KU
Each project request goes through an IT Project Governance process, where the office works with the KU IT Project Steering Committee and IT Leadership to evaluate feasibility, alignment with university goals, security considerations and resource availability. By following best practices, the office delivers solutions that work for our campus community while stewarding university resources.
The team has already played a key role in several transformative projects, such as:
- KU Core and Credit Transfer Updates – Coordinating IT efforts to give students accurate, real-time degree planning information.
- Classroom A/V Upgrades in Capitol Federal Hall – Helping the School of Business modernize classroom technology while minimizing disruption.
- Multi-Factor Authentication Expansion – Strengthening cybersecurity by implementing Duo MFA for students, reducing account compromises.
- ServiceNow to TeamDynamix Transition – Leading the migration to a new IT service management platform, resulting in cost savings and efficiency improvements.
“The PCMO played a critical role in supporting the University Core Curriculum Committee through the implementation of the KU Core 34 general education curriculum”, said Millinda Fowles, director of academic programs. “Their organization, clear communication, responsiveness and problem-solving skills were essential to completing the project and meeting deadlines.”
Submitting a project request
Any faculty and staff member leading or sponsoring a technology-related project — such as purchasing software, integrating tools or changing processes that affect others — should contact the PCMO early in the process. Submit your project to the team before you select vendors or make purchases so they can properly evaluate, prioritize and sometimes even identify existing solutions that already meet your needs.
